Required Documents

Please see Sections 1, 2 and 3 below which will give you more details as to what format documents must be provided to us. Depending on your entity type e.g. individual, director, partner etc and where you reside will depend on how documents must be submitted to us.

Documents Table
We must see the WHOLE document (top to bottom, left to right, including edges). The documents must be valid where it is photo ID and any other documents must be dated in the past 3 months.

– State pension notification letter
– A gas/water/electricity utility bill
– A telephone bill
– Bank/Credit card statement
– Investment/Insurance confirmation
– Mortgage statement
– Local authority tax bill/council tax bill
– HMRC documentation that shows your name –
and national insurance number.
– Passport
– National ID Card
– Driver’s Licence
– Armed Forces ID Card


Any document submitted as a proof of ID will not be acceptable as a proof of address. We must always obtain 2 documents. Documents not in English may be harder for us to accept or verify, these documents might be declined or more requested.

SECTION 1. Individuals
These are the requirements for Individuals. E.g. if you are using the service as an individual, self employed person with or without a trading as name, the account holder and any others name that you wish to accept mail for. this section is relevant.

We require a simple photo/scan of the documents mentioned in the documents table (above).


SECTION 2. Directors / Partners or Persons of Significant Control (PSC) * of UK Limited Companies or Limited Liability Partnerships who live in the United Kingdom.
These are the requirements for that needs to be met for all Directors/Partners or any person that holds 26% or more of shares or voting rights, these are known as PSC’s.

Please complete both A and B.

AND

B. We require a simple photo/scan of the documents mentioned in the documents table (above). However we will conduct an e-check to verify who you are.

If we are unable to locate you via an e-check we may have to see original document or certified/notarised copies, we will contact you if this is the case.


SECTION 3. Directors / Partners or Persons of Significant Control (PSC) * of UK Limited Companies or Limited Liability Partnerships who live outside the United Kingdom or live in the United Kingdom and have failed an e-check.
These are the requirements that needs to be met for all for Directors/Partners or any person that holds 26% or more of shares or voting rights, these are known as PSC’s and is resident outside the United Kingdom OR you are resident in the United Kingdom and have failed the e-check.

Please complete both A and B.

AND

B. We require a certified or notarised copies of the documents mentioned in the documents table (above).

Please read this section fully and do not commission a certified or notarised copy UNLESS the certifier or notary is willing to provide ALL of these requirements.

Who can certify a document

Your document must be certified by a professional person or someone well-respected in your community (‘of good standing’). You could ask the following if they offer this service:

  • Accountant
  • Armed forces officer
  • Bank/building society official
  • Commissioner of Oaths
  • Councillor (local or county)
  • FCA regulated person (identified using the FCA authorised persons lists)
  • FCA regulated financial services intermediary (e.g. stockbroker or insurance broker)
  • FCA regulated financial advisers
  • Member of Judiciary/Justice of the Peace
  • Job centre employee
  • Member, associate or fellow of a financial services professional body
  • Paralegal (certified or qualified paralegal or associate member of the Institute of Paralegals)
  • Post office official (through the post office’s certification service – you must keep the A4 Certification Sheet and Receipt)
  • Ministers of religion
  • Member of Parliament, or Scottish/Welsh/Northern Ireland Assembly Member
  • Doctors/Nurses or Dentists
  • Serving Police Officer
  • Solicitor/Lawyer/Advocate
  • Social worker
  • Teacher/Lecturer
  • Embassy, consulate or high commission officer in the country of issue
  • Notary public
  • Government department member of staff or official

The person you ask should not be:

  • related to you
  • living at the same address
  • in a relationship with you

How to certify a document

  • Take the photocopied document and the original and ask the person to certify the copy by:
  • writing ‘Certified to be a true copy of the original seen by me’ or to that effect on the document
  • signing and dating it
  • printing their name under the signature
  • adding their occupation, full address (including Road/Street Name and Postal/ZIP code) and telephone number (any document not including this will be refused)

SUBMITTING YOUR DOCUMENTS

You can submit your documents via your online portal. Please login to your location on www.ukmailboxdirect.co.uk/portal.

Once logged in, click settings, add authorised recipients and upload your documents.

Please name your files by the first and last name of the person who they relate to.
